Guidance Policy on the Use of Artificial Intelligence (AI)

1. Purpose
This policy provides ethical and practical guidance for the use of artificial intelligence (AI) tools in the context of scholarly contributions to Military Caring Sciences. It ensures the responsible use of AI technologies while upholding the values of military caring—honor, integrity, accountability, and respect for human dignity.

2. Scope
This policy applies to all contributors to the journal, including authors, peer reviewers, editors, and editorial staff.

3. AI Use by Authors
Permitted Uses
Authors may employ AI tools to support, but not replace, scholarly inquiry and authorship. Acceptable uses include:
Grammar and language refinement (e.g., Grammarly, ChatGPT for proofreading).
Summarizing publicly available literature, provided valid sources are cited.

Required Disclosures
To ensure transparency and maintain trust in military and healthcare scholarship, authors must disclose any use of AI tools that contributed significantly to the content of their submission. Disclosures should appear in a section titled “Use of Artificial Intelligence Tools” and include:
  • The specific AI tool(s) used.
  • The purpose of its use.
  • The extent of AI involvement (e.g., translating, editing only, initial draft support, figure generation).

Prohibited Uses
  • AI-generated content presented as original without human oversight.
  • Using AI to create fabricated or manipulated data, citations, images, or references.
  • Listing AI tools as co-authors.
  • Submitting manuscripts primarily or wholly generated by AI.
  • AI use must not undermine the ethical tenets of military caring, including authenticity, truthfulness, and accountability.


4. AI Use in Peer Review
  • Reviewers must not upload confidential manuscript content to AI platforms.
  • If AI tools are used to assist in summarizing or drafting review comments, such use must be disclosed in the confidential reviewer notes to the editor.
  • Review content remains the sole responsibility of the human reviewer.

5. Editorial and Administrative Use of AI
Editors and journal staff may use AI tools for non-decision-making tasks such as:
  • Formatting assistance.
  • Language polishing.
  • Similarity checks or content summarization.

Final editorial decisions must always be made by a human editor.

6. Ethical Accountability
All contributors are accountable for the content they submit or approve for publication. Misuse or non-disclosure of AI tool usage that compromises the integrity of scholarship or the values of Military Caring Science may result in:
  • Rejection or retraction of the work.
  • Notification to the author’s institution or chain of command.
  • Restrictions on future submissions.

7. Policy Review and Updates
This policy will be reviewed regularly to remain consistent with advancements in AI and evolving ethical standards in military and health sciences. The most recent version will always be available on the journal’s website.
